Refund Policy

• Acknowledge the student’s right to a refund as per government guidelines.
• State that fees are refundable on a pro-rata basis if a student leaves the course midway.
• Specify that any “no-refund” clauses are void and unenforceable. 

• Basis: The refund will be calculated on a pro-rata basis for the remaining period of the course.
• Example: Clearly explain how the amount is calculated. For instance, “If a student leaves a 12-month course after completing 3 months, they will be refunded the amount paid for the remaining 9 months, less any applicable administrative fees.”
• Deductions: Clearly list any legitimate, nominal administrative fees that may be deducted from the refund amount. Consumer courts have generally rejected claims for the entire fee to be forfeited. 

• Request procedure: Explain the process for requesting a refund, including any specific forms or written communication required.
• Required details: Specify the information needed to process the refund, such as the student’s name, course details, payment receipt, and reason for withdrawal.
• Timeline: State that the refund will be processed within 10 days of receiving the request, as mandated by the guidelines.
• Contact information: Provide a dedicated email address (refunds@yourinstitutename.com) or point of contact for all refund-related queries. 

• Online vs. offline: Clarify if there are different procedures for online and offline courses.
• Hostel and mess fees: Specify that these will also be refunded on a pro-rata basis.
• Payment method: State how the refund will be issued, such as via bank transfer to the original payment source.
• Resolution process: Include a clause explaining that in case of any dispute, the matter can be escalated to the institute’s grievance redressal committee or taken up through the appropriate Consumer Disputes Redressal Commission.
